Automatic updates from QuickBooks

Hours and expenses tagged to a job come in on their own.

While a job is open, Brushline brings in what's tagged to it in QuickBooks:

  • Time entries (QuickBooks Workforce, formerly QuickBooks Time), added to each person's hours.
  • Expenses and bills with the job as the customer, with a best guess at the kind of cost (paint, supplies, equipment, other).

It checks right after time or expenses change in QuickBooks, and again every night. The job page shows when it last checked; Check QuickBooks now checks right away.

Good to know

  • Nothing comes in twice. If you remove an imported entry, it stays removed.
  • QuickBooks doesn't say which hours were overtime, so imported hours start as regular. Move overtime hours over yourself.
  • Changes to an entry already brought in (like edited hours) aren't picked up; adjust the number on the job.
  • Closed jobs don't update. Reopen one to bring in late entries.
  • Only what's tagged to the job's customer or sub-customer comes in. Ask your bookkeeper to tag time and expenses to the job.
